The Case Tracking and Workflow Management System is a secure, workflow-driven digital platform developed to support CIABOC’s case processing operations. The system introduces a structured digital layer for tracking cases from initial complaint intake through investigation, review, directive issuance, escalation, and closure. By replacing fragmented manual tracking with configurable workflows, task ownership, KPI monitoring, dashboards, and audit trails, the platform improves operational visibility, strengthens accountability, and supports timely case progression across divisions and sub-divisions.
Each case is assigned to a workflow template based on its investigation type, enabling automated task sequencing, ownership assignment, deadline tracking, and controlled transitions between case stages.
The platform supports structured tracking from complaint intake through investigation, review, directives, escalation, and closure, maintaining visibility across the complete case lifecycle.
Built-in KPI mechanisms track time-to-complete, time-to-notify, and time-to-escalate indicators, helping supervisors identify delays, bottlenecks, and stalled cases early.
A hierarchical RBAC model controls access for operational staff, supervisors, division heads, and senior management, ensuring sensitive case information is visible only to authorized users.
Management dashboards provide visibility into caseloads, workflow status, division-level workloads, performance indicators, ageing, and operational progress while maintaining confidentiality.
Every status change, handover, assignment, escalation, and decision point is captured through case timelines and audit logs, strengthening traceability and accountability.
QR-coded case references, dashboard-based task lists, and simplified status updates reduce manual data entry and minimize the operational burden on investigators.
The system generates statistical reports and performance indicators for public disclosure while restricting detailed case updates to authorized internal and external stakeholders.
Integration points support linkage with production inventory management and record room systems, helping maintain traceability between physical and digital case artifacts.
Developed using open-source technologies, the system includes encrypted communications, server-side session management, audit logging, data protection controls, security audit support, user training, UAT facilitation, and post-deployment maintenance to ensure long-term operational sustainability.
